PROCUREMENT / FROM ENQUIRY TO DELIVERY

A quote is only useful
when its scope is clear.

This is the buying path the sample is designed to support—from first product selection through drawing review, quotation and delivery coordination.

01

FIRST BRIEF

Define the route

Choose a product enquiry, project review or distribution discussion. Each needs a different level of detail.

BuyerShare the product family, destination and what you are trying to buy.

SupplierConfirm whether the request is ready for a line-by-line quotation or needs a scope review first.

02

DOCUMENT CHECK

Confirm the documents

Use the current drawing, schedule and specification revision. Keep missing measurements and approvals visible.

BuyerSend the revision you want reviewed and identify who can approve changes.

SupplierCheck that the documents refer to the same product scope and flag any gaps.

03

SCOPE

Agree the supply boundary

Set out product, accessories, packing, technical support and any installation role before comparing offers.

BuyerIdentify required items and services, including anything supplied by others.

SupplierState what is included, excluded and dependent on another party.

04

QUOTATION

Review the quotation

Confirm quantities, assumptions, exclusions, delivery basis and validity before treating an offer as final.

BuyerCheck the offer against the latest schedule and flag changes.

SupplierIssue a revised offer if scope, quantity, finish or delivery assumptions change.

05

HANDOVER

Coordinate delivery

Agree production updates, packing marks, dispatch documents and the receiving plan for the actual order.

BuyerProvide the receiving contact, access information and agreed delivery instructions.

SupplierConfirm the agreed production and dispatch milestones and the documents supplied.

A formal offer should reflect the latest approved scope. Production timing, transit time, installation and warranty are confirmed for the actual order—not assumed from a general website statement.

READY WHEN YOU ARE / DEMO 10

Have a schedule, a sketch
or just a first question?

Start with what you know. Add drawings or product lines when they are ready. A formal specification and price still need human review.
